At AJN Fine Art, we understand that photographs and videos can be a positive way to celebrate creativity, document learning, and share the work of our students. We are committed to using images responsibly and respectfully, with children’s safety and privacy as our priority.

This policy explains how and why photographs or videos may be taken, stored, and used.

Why We Take Photographs or Videos

Photographs or short videos may be taken for the following purposes:

  • To document learning and creative progress

  • To celebrate student artwork and activities

  • To promote AJN Fine Art through our website, social media, and printed materials

  • To support funding, marketing, or partnership opportunities

We never use images in a way that could place a child at risk or cause discomfort.

Consent

  • Photographs and videos are only taken where parental or carer consent has been given

  • Consent is collected via online booking forms or written consent forms

  • Providing consent is optional and not a condition of participation

  • Parents and carers may withdraw consent at any time by contacting us in writing

How Images Are Used

Where consent is given:

  • Images may be used on:

    • The AJN Fine Art website

    • Social media platforms

    • Printed promotional materials

  • Children are never identified by full name alongside images

  • Images are selected carefully and used respectfully

We do not use images for any purpose outside those stated without further consent.

Storage & Security

  • Images are stored securely

  • Access is limited to authorised staff only

  • Images are not stored on personal devices

  • Images are retained only for as long as necessary

All image handling complies with UK data protection legislation.

Children’s Safety & Dignity

AJN Fine Art takes steps to ensure that:

  • Images are appropriate and non-intrusive

  • Children are suitably dressed at all times

  • Images are taken in group or activity contexts wherever possible

  • Children are never pressured to be photographed

If a child expresses discomfort, images will not be taken regardless of consent status.

Photography by Parents & Visitors

Parents and carers may occasionally wish to photograph their own child’s work or achievements.

We ask that:

  • Photographs are limited to your own child

  • Images including other children are not shared publicly

  • Permission is sought before photographing group activities

This helps us protect the privacy of all families.

Right to Withdraw or Request Removal

Parents and carers have the right to:

  • Withdraw consent at any time

  • Request the removal of specific images where reasonably possible
